We are looking for a part-time Business Operations Coordinator to provide support across HR, finance, and administrative operations. This role is ideal for someone with experience in operations, HR, or finance and a willingness to learn across functions.

The ideal candidate will assist with onboarding, payroll support, expense management, vendor coordination, and overall operational efficiency. You will work closely with leadership to ensure smooth day-to-day operations while handling sensitive financial and HR data with discretion.

Key Responsibilities:

HR & People Operations:

• Support employee onboarding, including offer letters, KYC/I-9 verification, and equipment orders.
• Maintain employee records, track PTO, anniversaries, and key calendar updates.
• Assist with token and option grant documentation and tracking.
• Help manage open enrollment and benefits administration.
• Coordinate performance review processes and document evaluations.

Finance & Expense Management:

• Reconcile accounts and maintain financial records in QuickBooks and Brex.
• Load invoices, schedule payments, and track expenses by category.
• Assist in preparing monthly financial reports, categorizing contractor/vendor spend.
• Assist with payroll processing and ensure reimbursements are accurately recorded.
• Track cryptocurrency transactions and maintain proper documentation.

Administrative & Operations Support:

• Organize and maintain shared drive files for HR, finance, and company operations.
• Monitor key inboxes (e.g., accounts payable) and assist with inquiries.
• Support vendor onboarding and contract management.
• Assist with tax and compliance-related documentation (e.g., 1099s, W2s, R&D tax credits).
• Help refine internal processes to improve efficiency and documentation.

• 3+ years of experience in operations, HR, finance, or administrative support.
• Proficiency in Google Workspace, Notion, QuickBooks, and Brex (or willingness to learn).
• Highly organized with the ability to manage multiple tasks independently.
• Excellent attention to detail and ability to handle sensitive information with discretion.
• Experience in crypto/Web3 accounting is a plus but not required.
• Strong willingness to learn and take ownership of new tasks.
